It is also designed to make the conversion to final page make-up as automatic as possible. The template includes a toolbar called Communicator, which provides menus of styles and other useful commands. We recommend that you use the template with macros enabled, and with options suitable for style-based editing. You can set the recommended options automatically with the Communicator Recommended Options button on the toolbar. Using the template If you have not done so already, create a new document from the latest version of the Communicator.dot template. The document initially contains these instructions and notes. To prepare your contribution, follow these steps: Select File>Properties. In the Properties Summary, enter the banner heading to appear at the top of each page of your contribution in the Subject box, and check that your name is correct in the Author box. OK the dialog. If you are preparing an article, type your title into place in the frame at the top of the page. Otherwise, delete the frame. Save the document with a meaningful filename. Replace the rest of the text in the document with your own content, following the House Style and Contributors Guidelines for your type of contribution. Use the styles and special elements provided on the Communicator toolbar as far as possible. See the sections below on styles and on the special elements for each type of contribution. Add graphics, callouts and panels as required, and if necessary adjust the layout to give a representation of how you would like your contribution to appear. The final section below gives some advice on this. Formatting using styles The template uses styles both to define the formatting in the Word document and to aid conversion to the page make-up software. The menus and buttons on the Communicator toolbar will help you apply the correct styles. Important: Be careful to apply paragraph styles to the whole paragraph, not just to some of its characters. For those unfamiliar with Word, this means making sure that you either simply place the cursor in a paragraph with no text selected, or that you select the whole paragraph. If you select only part of a paragraph Word will only apply the font formatting defined for the style, not the full paragraph style. Always use the character styles to apply bold and italic font formatting. If you use the standard Word buttons the formatting will be lost on import. The following notes cover normal text formatting requirements. If you need additional styles, ask the editor for guidance. Subheadings. Use Paragraph Styles>Subheading to format your subheadings. If necessary, you can also use a Subsubheading for a subsidiary level. Ordinary text paragraphs. The ordinary paragraph style is B.Body which provides an indented paragraph. The first paragraph after a heading, list or other block item is in B.Body1st style and has no indent. These styles are both available from the ParagraphStyles menu. Lists. Styles for bullet and numbered items are available from the ParagraphStyles menu. Character formatting. Use the Character styles menu or the buttons on the Communicator toolbar to apply character styles for bold and italic text. Note that the buttons are non-toggling and there is a separate Default Paragraph Style button to remove character formatting. Article special elements Articles contain three special elements: the headline with explanation, the author profile at the end of the article and, optionally, a References section. Headline with explanation. The template includes model text in the correct styles. The title must fit on one line, but you may reduce the point size from 28pt to 26pt if necessary. Use the BoldBlue character style to format your name in the explanation. If you need to reinsert the headline frame, place the cursor at the beginning of the file and use Special Elements >Article headline and explanation. Author profile. Insert the model author profile element at the end of the file using Special Elements>Article author profile. Type your details into place: name, ISTC grade, background and e-mail. The whole profile should be in one paragraph, but you may use line breaks (ShiftEnter) if necessary. Alternatively, you can apply the B.AuthorDesc style to your profile paragraph using Paragraph Styles>Author profile. References. If you wish to include a list of references, insert the model references element at the end of your article (before the author profile), using Special Elements > References section. Additional references can be added after the first (they should be in References paragraph style). Journal titles should be in italics, as indicated in the model. Book review special elements Book reviews use the following special elements: Book review heading. Insert the model heading element using Special Elements>Book review heading and type the details into place. Layout, graphics and page fitting You should use your Word document as a guide to length and to indicate how you would like the text and panels to appear. However, it is not an exact representation of the final format, and you do not need to fine tune the layout or achieve an accurate fit to the last few words or characters. you do not need to fine tune the layout Callouts. Insert your figures or other panel content in the text box. You may resize and reposition these text boxes. Figures. If you have the graphics files, insert a copy in a panel in the Word document.
